Office Administrator

• Manage reception area and office creating a welcoming experience for office visitors and staff, maintaining professionalism through appearance and interactions,
• Handle routing of incoming calls and mail communications daily ensuring timeliness,
• Manage reception, dispatch and sending of mails and parcels, shipment,
• Represent Rolling Wireless to visitors and other stakeholders whether in person, telephonically or any other medium of communication, professionally ensuring high customer service,
• Order office supplies (including coffee supplies), ensuring due diligence in making purchases that are the most cost-effective options,
• Coordinate ordering, delivery, presentation, and clean-up of catering for visitors and staff for events, meetings etc,
• Liaise with building management and office security, and provide updates to Director as necessary,
• Manage the purchasing function and ensure inventories of office supplies to include but not limited to office and kitchen supplies and marketing materials (Business cards, folders, brochures etc.),
• Manage invoices for payment, and ensure a close follow-up with suppliers and accounting,
• Report employee queries regarding office management issues, maintenance, mailing, shipping, and supplies to Director for guidance,
• Organize office operations and procedures,
• Participate and in cases take the lead in the planning and execution of company events (i.e. in-house or off-site activities such as social events, meetings, celebrations, and conferences),
• Assist the Site Director and Employees with overall office clerical and administrative duties, as needed and approved by Director.

Human Resources 35% :

• Assist HR in on-boarding new employees,
• Lead efforts to automate paper documents and files,
• Schedule candidates meetings,
• Assist with open enrollment and benefit administration by following up with staff (occupational medicine, etc...),
• Reconcile invoices for Director review and signature,
• Maintain employee confidence and protects operations by keeping personnel data confidential,
• Assist on posting job announcements on local job boards.

Training Support 15% :

• Assist with training compliance notifications,
• Assist with scheduling trainings and securing meeting space,
• Assist with training preparation such as printing, binding, and gathering all necessary materials, as directed.

• +3 years experience
• Fluent in English and Hungarian

• This is a highly visible front-office role which requires the ability to exude polish in appearance and communications,
• Possess a positive and professional demeanor and exceptional communication and phone skills,
• Strong organizational skills, handling multiple priorities while being attentive to details,
• Ability to make decisions and take appropriate actions,
• Ability to analyze and resolve office administrative and procedural challenges,
• Ability to organize own priorities and meet deadlines,
• Computer literacy including proficiency in MS Office Suite, Outlook, Teams etc. and technical agility in working with multiple systems/databases,
• Effective oral and written communication skills with colleagues, management, and the general public,
